Kepful Privacy Policy
Kepful is a Chrome extension that helps you remember every client, call by call. It records the audio of a browser tab you choose, turns it into notes, summaries and action items, and lets you ask questions about your clients. No bot ever joins your call. This policy explains what Kepful collects, why, and what control you have.
In short: Kepful uses your data only to give you your summaries, client notes and answers. We never sell it, never use it for advertising, and our team does not read it unless you ask us for support.
What Kepful collects
- Call audio. Only when you press Start Recording, Kepful captures the audio of the tab you chose. Kepful does not record anything otherwise, and it does not keep the audio recording after it has been transcribed.
- Content you create. Transcripts, summaries, action items, client names and profiles, and the questions you ask in Ask Kepful, Kepful's assistant.
- Email address. You sign in to Kepful with your email address and a one-time 6-digit code we send to it. We use your email only to let you sign in, to keep your data tied to your account, and to contact you about support if you ask. We do not send marketing email.
- Account identifier. Kepful creates a private account identifier so your data stays separate from everyone else's.
- Usage counts. A simple count of how many times you use each feature per day, so we can apply fair daily limits.
- Local settings. Your consent choice and preferences are stored in your browser by Chrome's extension storage.
How your data is used
Your data is used only to provide Kepful's features: transcribing your calls, writing summaries and action items, keeping your client profiles up to date, and answering your questions. Nothing is used for advertising, profiling or to train models.
Service providers
To provide these features, Kepful securely sends data to the following providers, who process it on our behalf:
- A speech-to-text provider converts call audio into text.
- An AI provider writes summaries, action items, briefs and answers from your transcripts and notes.
- A cloud database provider stores your account data, clients, meetings and tasks in a protected database. Access is restricted so each user can reach only their own data.
Requests to these providers pass through Kepful's own secure service, so no provider keys are stored in your browser. Each provider handles data under its own terms and privacy policy. You can email us at the address below to ask which providers we currently use.
Optional features you control
- Notion. If you choose to export to Notion, Kepful sends the content you export to Notion using your own connection. This happens only when you ask for it.
- Email drafts. Kepful can open a draft email in Gmail. It only prepares the draft; Kepful never sends email for you.
- Copy and PDF. These happen on your device.
Who can see your data
Our team does not read your calls, transcripts or client notes. We may access specific data only if you ask us for support and agree to it, if it is needed to keep the service secure or fix abuse, or if the law requires it. We do not sell or rent your data to anyone.
Chrome Web Store Limited Use
The use of information received from Google APIs and Chrome extension APIs will adhere to the Chrome Web Store User Data Policy, including the Limited Use requirements. Kepful does not transfer your data to third parties except to provide or improve the features you use, to comply with the law, or as part of a merger or sale of the business with notice to you. It does not use your data for advertising or for judging creditworthiness, and humans do not read it except in the narrow cases described above.
Recording and other people
Kepful records the tab you choose, which may include other people on your call. Please make sure everyone has agreed to be recorded, as laws on recording vary by place. You are responsible for getting that consent.
Retention and deletion
Your data stays in your account until you delete it. Signing out of Kepful does not delete your data. You can delete a client in the Kepful dashboard, which permanently removes that client's meetings, tasks and profile. You can also email us to request deletion of all data tied to your installation, and we will do so within a reasonable time. Usage counts are kept only briefly for limit purposes. If an upload fails, the recording stays only on your device for up to 7 days so you can retry, then it is deleted automatically. Profile photos you add for yourself or your clients are resized and stored only on your device. They are never uploaded to our servers or shared with our service providers, and they are deleted when you remove them, delete the client, or sign out.
Security
Data is encrypted in transit, stored in a protected database with per-user access rules, and AI provider keys are kept on our servers only. No system is perfectly secure, but we work to protect your information.
Children
Kepful is intended for professionals and is not directed at children under 16.
Pro waitlist
If you join the Pro waitlist on our website, we store your email address only to tell you when Pro launches. Email support@kepful.app to be removed.
Changes to this policy
If we make material changes, we will update the date above and, where needed, ask for your agreement again inside Kepful.
